Getting started with EZYiD Assets

The Asset table view is the centre piece of your EZYiD experience. The table view defines your compliance workflow, structures how you identify and report risk and shapes your team’s behaviour towards safety in your organisation. By attaching an EZYiD tag to your asset, the EZYiD system aims to create a digital record of a physical asset. When the EZYiD tag is scanned, you have access to current information on the status of the asset, alerts, its inspection history and location data. Inspection protocols associated with an asset form the basis for reminders and alerts with regards to upcoming and overdue inspections. The checklist associated with an asset is a set of instructions for field workers and inspectors to follow and complete capturing data at source. This document aims to get you familiarized with the core features of the EZYiD Software application by showing you how to create assets at the beginning, search, manage transfers, inspections and retirement/disposal of assets.

EZYiD User Roles

There are 4 types of user roles within the EZYiD system

Administrator Role

The EZYiD Essentials and Manager subscriptions are administrator roles within the EZYiD System. The administrator role has universal access across all devices. The role has access to the admin portal at www.au.ezyid.io with access to all services and functions. Every organisation must have at least one Administrator role. While all other access roles are based on principles of least privilege, the administrator role starts with full access or open access, requiring you to change access based on your policies.

Frontline Operator Role

EZYiD Frontline Operators are limited access roles to mobile devices only. Mobile devices include kiosks, tablets and phones. There is no admin portal access for Frontline operator roles. You can download the EZYiD Lite app from the Playstore or Appstore. The EZYiD Lite app is our Frontline Operator role subscription. Frontline operator accounts have full access to workspaces, sites, categories and can Add new assets, complete inspections, reserve equipment, undertake tasks like prestart, thorough examinations and maintenance, create and maintain kits (mobilise and demobilise containers, checkout assets to crew members and complete audits. Operator roles can also be curtailed via the People profile page. (Workspace, Sites)

Crew Role (View only)

The Crew Role are personnel accounts with a valid email address and an active personnel licence. Crew Roles have limited sign-in to the EZYiD app portal with access to all sites, categories, assets and workflows such as reserve, borrow, view assets assigned to them, and complete tasks assigned to them. Crew roles must have an email address. Personnel accounts can be converted to Crew logins by adding an email address and assigning a valid licence to enable access to the app portal. Access is via www.app.ezyid.io or the EZYID Lite app. Crew roles can either be limited to one site or all sites. Multiple site selection is currently not available for this account type.

Personnel Role (Kiosk Access only)

Personnel roles have no sign-in access to EZYiD. Personnel would register themselves on an EZYiD Kiosk, requiring their names, access pass ID and their associated Company. There is no need to add any Personal Identifiable Information like email addresses. The Personnel name, company and their badge ID is registered to all checkout assets and tools. All Administrator and Frontline Operator Roles have a Personnel Account that is created automatically when the accounts are created.
